Trade Document Validation
Sail reads the invoices, packing lists, B/Ls and certificates your suppliers send in any layout, checks them against your own rules and master data, and sends clean data on to your customs software or ERP. Control tower and documentation teams only look at the shipments that need a decision.
Suppliers, forwarders and 3PLs keep sending documents the way they always have. Sail watches the shared inboxes you point it to, files each attachment to the right shipment and opens a new one when it sees a new reference, so nobody on the team starts the day dragging PDFs into folders. Documents that come from a portal or your ERP arrive through upload or the API and follow the same path.
Template-based capture breaks whenever a supplier moves a field or switches invoicing software, and the work waits until someone rebuilds the template. Sail classifies every page, splits bundled PDFs into their documents and extracts each field and line item from layouts it hasn't seen before, including scans, phone photos and 100-page bundles, so a new supplier works from their first shipment.
Every shipment goes through the checks your documentation team would otherwise do by hand. Sail confirms the required documents are there, that totals add up inside each document, and that weights, quantities, values and references agree across the invoice, packing list, B/L and certificates. It also checks extracted values against your own master data, such as valid material codes and supplier records, which catches the errors that look right on paper.
You start from a library of more than 150 ready-made checks and set each one per trade lane, country, supplier and document type, with tolerances for the variances you accept. A weight that's 2% off can pass while a consignee mismatch holds the shipment. Your admins edit, duplicate and create rules in the library themselves, and a change applies to the next shipment that comes in.
When a check fails, Sail turns the finding into a task with an owner, comments and a status the whole team can follow. Critical checks hold the shipment, so nothing moves on to your customs software or ERP until someone has fixed the problem or signed it off. Where a supplier or 3PL has to correct a document, Sail drafts the email for you, listing each discrepancy with the values it found on both documents, and your team reviews it and sends it.
Approved shipments go wherever the work continues. Sail merges the invoice, packing list and B/L into one record per shipment, with gross weights distributed to each invoice line, and sends it to your customs software, ERP or TMS through the API, a file in the format your system imports, or a connector we build with your team. If you don't need an integration, Sail works on its own and keeps the validated data and documents in its archive, and when a broker files for you they get a structured record to work from.
Each entity or market gets its own workspace and users, and an admin view sits across all of them, so a central documentation team can follow every market from one place. Reports show failure rates, the most common issues and the suppliers behind them, which is where the conversation about fixing documents at the source usually starts.
